1. Introduction

This Privacy Policy explains how TRVLFT CO. collects, uses, shares and protects information when you visit our website, contact our lift desk, request a service or work with our crew on a computer systems engagement. We have written it in plain English on purpose. The systems design work we do is technical, but the way we handle personal information should never require a legal decoder ring.

This website and the services offered through it were designed and are maintained by the developer VoyageLift on behalf of TRVLFT CO. When you read this policy, the word we refers to TRVLFT CO. and, where the context requires, to the crew and contractors who act on behalf of the company. The developer name VoyageLift appears here for transparency about who built and maintains the digital side of the lift desk.

We believe that a professional technical services firm should be as careful with personal data as it is with the systems it is trusted to integrate. That belief shapes every section below. We collect only what we need, we keep it only as long as we need it and we never sell it to anyone. If a sentence here is unclear, write to us and we will explain it without jargon.

2. Who We Are

TRVLFT CO. is a computer systems design and integration practice. Our registered business address is 410 Hidden Village Ln, Holland - 43528-6608, United States (US). We provide services within the professional, scientific and technical services sector, with a focus on computer integrated systems design, envelope reviews, integration work and the documented operational discipline we describe on this website as our balloon lift desk.

For the purposes of applicable data protection law, TRVLFT CO. is the controller of the personal information described in this policy, unless we state otherwise in a separate written agreement. Where we act on behalf of a client and process information only under that client instruction, we act as a processor and the client remains the controller.

You can reach the desk by email at escalate@trvlft.com or by telephone at +14325295260. Our gate office is open Monday to Friday from 07:00 to 18:00 Eastern. Written post can be sent to the address above, and it is read by the crew member on duty.

3. Scope of This Policy

This policy applies to personal information that we collect through our website, through email, through telephone calls, through our contact form and through any other interaction you have with our crew. It also applies to personal information we collect in the course of providing services, such as the names and contact details of client staff who take part in an engagement.

This policy does not apply to information that a client collects and controls on its own systems, nor does it apply to third party websites that you reach through a link from our pages. Where an engagement involves a separate data processing agreement, that agreement will govern the processing described in it and will take priority over this policy for that processing.

This policy also does not apply to anonymised or aggregated information that can no longer reasonably be linked to an individual. Such information may be used to understand how our services perform and to improve our documentation and internal processes.

4. Information We Collect

We try to collect as little personal information as a professional services relationship can reasonably need. The categories below describe what we normally handle. Not every category applies to every visitor, and many visitors will only ever share a name and an email address.

  • Contact information such as your name, email address, telephone number and organisation.
  • Enquiry information such as the subject and content of a message you send through our contact form or by email.
  • Engagement information such as role titles, project notes, meeting notes and the names of people who take part in an envelope review or a wind window session.
  • Billing information such as invoice references and the contact details of the person responsible for accounts payable, where a client relationship requires it.
  • Technical information such as browser type, device type, approximate region and the pages you view on this site, collected in a form that is not intended to identify you personally.
  • Communication records such as the date and time of calls and the content of correspondence that you choose to send us.

We do not ask for patient records, financial account numbers, government identification numbers, health details or any other category of sensitive personal information through this website. If such information is ever required for a specific engagement, it will be requested through a separate, secure and agreed channel with its own written handling rules.

5. How We Collect Information

Most of the information we hold is given to us directly. You provide a name and an email address when you send a message through the contact form, when you call the desk or when you write to escalate@trvlft.com. You provide further detail when you describe a project, share a document or join a call with the crew.

Some information is collected automatically when you browse this site. Our hosting provider records standard technical details such as the pages requested and the approximate time of the request so that the site can be served reliably and so that obvious faults can be detected. We keep this at a level that supports operations and security rather than profiling.

In some cases we receive information from a client. For example, a client may give us the name and work email address of an engineer who will join an envelope check. When that happens, the client is responsible for making sure it is allowed to share that information with us, and we handle it under this policy.

6. Why We Use Information

We use personal information for a short list of clear purposes. Each purpose is tied to a genuine operational need, and we do not extend our use of information beyond what those purposes require.

  • To answer enquiries and schedule conversations with the lift desk.
  • To prepare proposals, scopes and lift plans for prospective clients.
  • To deliver an engagement, including envelope checks, basket load rounds, mooring drill weeks, burner audit days, wind window sessions and chase crew evenings.
  • To keep the engagement register current so that decisions, owners and follow-ups are documented.
  • To issue invoices, manage payments and maintain ordinary business records.
  • To keep the website secure, available and free from abuse.
  • To improve our documentation, service descriptions and internal training material.
  • To meet legal, tax and regulatory obligations that apply to a business in the United States.

We do not use personal information to make automated decisions that produce legal effects about you, and we do not build advertising profiles of visitors to this site.

7. Legal Bases for Processing

Where data protection law requires a legal basis for processing, we rely on the following grounds. For most enquiries and service delivery we rely on the performance of a contract or on steps taken at your request before a contract is formed. This covers answering a question, preparing a scope and carrying out the work itself.

We rely on legitimate interests for purposes such as keeping the website secure, maintaining business records, improving our internal documentation and responding to prospective clients who contact us first. When we rely on legitimate interests, we weigh our need against your rights and we keep the processing proportionate.

Where consent applies, for example if you explicitly ask to receive occasional service notes, we rely on that consent and you may withdraw it at any time. Withdrawal does not affect the lawfulness of processing carried out before the withdrawal.

We also process information when we are required to do so by law, for example to keep tax records or to respond to a lawful request from a public authority. In that case the legal obligation is the basis for the processing.

8. Cookies and Similar Technologies

This website is deliberately light. We do not run advertising networks, we do not embed social media pixels on our pages and we do not use cookies to track visitors across other sites. Any cookies set by our hosting provider are used for basic functions such as load balancing, security and remembering that a page has been served correctly.

You can block or remove cookies in your browser settings at any time. Blocking the small number of functional cookies that our host uses may affect how quickly a page loads, but it will not stop you from reading our pages or using the contact form. The contact form does not store your message in a cookie.

If we ever introduce a new category of cookie or a third party measurement tool, we will update this section, describe the tool by name and provide a clear way to decline it before it runs. We will not quietly expand cookie use in a way that contradicts the plain statements on this page.

9. How We Share Information

We do not sell personal information. We do not rent it, trade it or hand it to advertising networks. We share it only in the limited situations described here, and only to the extent needed for the reason stated.

  • With service providers who help us run the business, such as hosting, email, accounting and document storage providers, under contracts that limit their use of the information.
  • With a client, when the information relates to that client engagement and sharing it is part of delivering the work.
  • With professional advisers such as accountants or legal counsel, when their advice is genuinely needed.
  • With public authorities, when we are legally required to respond to a valid request or to protect against serious harm or fraud.
  • With a successor organisation, if the business is reorganised, merged or transferred, provided the successor agrees to honour this policy for existing information.

Whenever we share information with a third party, we aim to share the minimum necessary and to make sure the recipient is bound by confidentiality and security obligations that match the sensitivity of what is shared. We do not use client engagement details in public marketing without written permission.

10. Service Providers

Like most small professional firms we rely on a small number of trusted providers for routine functions. These may include a web host, an email provider, a bookkeeping platform and a secure file storage service. Each provider is chosen for reliability and security, and each is expected to protect the information it handles on our behalf.

Our providers are only permitted to process personal information for the functions we have engaged them to perform. They are not permitted to use our information for their own marketing or to resell it. We review our provider list from time to time and remove any provider that no longer meets our standards.

If you would like to know which categories of provider we currently use for a specific purpose, you may write to escalate@trvlft.com and the desk will answer in general terms without disclosing information that would create a security risk.

11. How Long We Keep Information

We keep personal information only for as long as we need it for the purpose it was collected, or for as long as the law requires. Enquiry messages that do not lead to an engagement are normally removed within twelve months. Engagement records, including the register and field notes, are kept for the duration of the relationship and for a reasonable period afterwards so that follow-up questions can be answered.

Billing and tax records are kept for the period required by United States tax and accounting rules, which is generally several years after the end of the relevant tax year. Security and access logs are kept for a short operational period and are not used for any purpose beyond protection of the site and the services.

When information is no longer needed, we delete it or render it anonymous in a way that cannot reasonably be reversed. If deletion is not immediately possible because information sits in a backup, we isolate that backup, stop using it for anything else and let it expire on its normal cycle.

12. How We Protect Information

The crew at TRVLFT CO. is practical about security because security is part of the systems work we sell. Access to client information is limited to the crew members who need it for the work, and each crew member uses a separate account with strong authentication. We keep systems updated, we do not share credentials between services and we remove access promptly when a role ends.

Information in transit is protected with standard encryption, and stored records are kept on services that provide encryption at rest and routine backup. We separate client material from our general business files so that a mistake in one area cannot quietly expose the other. We also review our own practices at the same desk where we review client envelopes.

No organisation can promise perfect security, and we will not pretend otherwise. If a security incident affects your personal information, we will investigate quickly, take steps to contain it and notify you and any relevant authority where the law requires it. We will explain what happened in plain language rather than hiding behind vague wording.

13. Your Privacy Rights

Depending on where you live, you may have some or all of the following rights in relation to your personal information. We honour these rights for everyone who asks in good faith, regardless of region, unless a legal exception clearly applies.

  • The right to know what personal information we hold about you and how we use it.
  • The right to request a copy of that information.
  • The right to ask us to correct information that is inaccurate or incomplete.
  • The right to ask us to delete information that we no longer need.
  • The right to ask us to restrict or limit how we use information in certain circumstances.
  • The right to object to processing that we carry out on the basis of legitimate interests.
  • The right to receive certain information in a portable, machine readable format.
  • The right to withdraw consent where processing is based on consent.
  • The right not to be discriminated against for exercising a privacy right.

We will never charge a fee to answer a reasonable request, and we will never ignore a request simply because it was sent by email rather than through a portal. If a request concerns information we hold on behalf of a client, we will forward it to that client and support them in responding.

14. How to Exercise Your Rights

To make a request, write to escalate@trvlft.com with the subject line Privacy request, or call +14325295260 during desk hours. Please describe what you would like us to do and, if possible, tell us which name or email address we might hold so that we can find the right records.

We may need to confirm your identity before we act on a request, especially where deletion or disclosure of sensitive records is involved. We will ask for the minimum information needed to verify you and we will not use the verification process to collect more than that.

We aim to respond within thirty days. If a request is complex or involves a large amount of information, we may extend the period, but we will tell you why and give a new date. If we decline a request, we will explain the reason and point you to any internal review or appeal route that is available.

15. International Data Transfers

TRVLFT CO. operates from the United States, and the information we hold is normally stored and processed within the United States. Some service providers may operate infrastructure in other countries, which means information could be processed outside your home region.

When information moves across borders, we rely on appropriate safeguards, such as contractual clauses and provider commitments to data protection. We choose providers that are transparent about where they store information and that offer clear terms on international transfers.

If you have a question about where a specific category of information is processed, contact the desk and we will answer in a way that is useful without creating an unnecessary security risk. We will not move data to a jurisdiction with weaker protections just to save a small amount on hosting.

16. Privacy for Children

Our services are offered to businesses and professional organisations, and this website is not directed at children. We do not knowingly collect personal information from anyone under the age of sixteen. If you believe that a child has sent us personal information, please contact the desk and we will remove it promptly.

If a client engagement ever involves a product that is used by young people, the handling of any related personal information will be agreed in a separate written plan that sets out additional safeguards. The default position of TRVLFT CO. is that the systems we design for business clients do not require personal information about minors.

We encourage parents and guardians who have questions about online privacy to read this page with their family and to contact us if anything is unclear. We would rather answer a question early than correct a misunderstanding later.

17. Marketing Communications

We do not send newsletters to people who have not asked for them. If you write to the desk about a project, we may reply about that project, and we may follow up once if we have not heard back. That is a service conversation, not a marketing campaign.

If you explicitly ask to receive occasional service notes, we will send only what you asked for, and every message will include a clear way to stop. You can also stop at any time by writing to escalate@trvlft.com or by calling +14325295260. We will action the request quickly and confirm it in writing.

We do not buy email lists, we do not scrape addresses and we do not use tracking pixels to see whether you opened a service note. The lift desk would rather have a small number of clear conversations than a large list of people who never asked to hear from us.

18. Automated Tools and Analytics

The crew sometimes uses software tools to help organise documentation, search internal notes and draft routine correspondence. When such tools are used, personal information is kept to the minimum needed and is not used to train public models. Human crew members review any output that affects a client before it is sent.

Website analytics are limited to aggregate measures such as page views and error rates. We use these numbers to keep the site working and to understand which service descriptions are being read. They are not used to single out individual visitors or to build advertising audiences.

We do not make decisions with legal or similarly significant effects about you through automated processing alone. If a tool ever suggests a change to a client engagement, a crew member makes the final call and records the reason in the register.

19. Third Party Sites

Our pages may link to external sites, such as a mapping service or a professional body. Once you follow a link and leave our site, the privacy policy of the destination site applies. We do not control those sites and we cannot promise how they handle your information.

We choose links carefully and only point to sites we believe are reputable, but a link is not an endorsement of every practice on the other side. We encourage you to read the privacy notices of any external site before sharing personal information there.

If you find a broken or misleading link on our site, tell the desk and we will fix it or remove it. Keeping our references clean is part of keeping the lift pad trustworthy.

20. Accessibility and Plain Language

We want everyone to be able to read this policy and understand it. The page is built with strong colour contrast, a readable text size and a clear section structure so that it can be used with a screen reader and with browser zoom. If any part is difficult to access, please tell us and we will help directly.

We avoid long legal sentences where a short one will do. Where a term has a specific legal meaning, we try to explain it nearby rather than assuming prior knowledge. If a sentence still feels unclear, the desk will gladly rewrite the explanation in simpler words for you.

Reasonable adjustments are available on request, including a version of this policy sent in plain text by email. Contact escalate@trvlft.com and describe the format that works best for you.

21. Changes to This Policy

We review this policy at least once a year and whenever we change how we handle personal information. When we make a material change, we will update the effective date at the top of the page and, where the change is significant, we will add a short note near the top explaining what changed.

We do not apply a new policy retroactively to information in a way that reduces the protection you were promised when it was collected. If a change requires your consent, we will ask for it clearly rather than relying on continued use of the site.

The current version of this policy is always the one published on this page. If you would like an earlier copy for your records, write to the desk and we will provide the version that was in force on the date you request, where it is still available.

The crew will acknowledge your message, investigate the matter and reply with what we found.

We take complaints seriously and we record them in the same register we use for client work, because a complaint is a signal that a process needs attention. If we got something wrong, we will say so plainly and explain the correction we are making.
